Transitioning from CIMS MasterShare to NYU Box

On the evening of Monday, August 18th, we will migrate the files currently stored on the Courant MasterShare folder system to NYU Box. Once the migration of data is completed, you would be added for access to the folders you currently use on the MasterShare and receive an automatic notification that you have been given access.

Why Make the Transition to NYU Box?

NYU Box makes it easy to work with your files by connecting your cloud storage directly to your computer’s folder. When you save or open files in the Box folder, everything automatically syncs—so your changes are always up-to-date in both the cloud and on your device. This means you don’t have to worry about uploading or downloading files manually, saving you time and hassle. It’s like having a direct link between your computer and your NYU Box account, making your workflow smoother and more straightforward.

This change is intended to enhance your experience by providing a more reliable, flexible, and user-friendly solution for sharing and working on files across different devices and locations. NYU Box offers numerous benefits that will enhance our productivity and collaboration, including: 

Increased Security: Robust encryption and access controls to protect sensitive information. 

Seamless Collaboration: Easy sharing and real-time collaboration on files across teams. 

Accessible Anywhere: Access your files from any device—Windows, Mac, or mobile—without VPN or network restrictions. 

Version Control: Track changes and revert to previous versions effortlessly. 

Integration Capabilities: Connect with other tools and applications used within the university.

About the Transition

On the evening on Monday, August 18th, around 6 pm, we will disable access to the MasterShare and begin the migration of folders, which should follow current naming conventions. Please be sure to save the data of any critical files currently stored in MasterShare before the transition commences. After this time, all files and folders will only be accessible in NYU Box. To get ready and make the transition as smoothly as possible, go ahead and download the Box Drive application so you will have it on your desktop ahead of the transition.

When the migration is completed, an automatic email will be sent out from one of our Systems Administrators indicating that you have been invited to colloborate for each of the folders you currently have access to in MasterShare. You should be ready to use them by the morning of Tuesday, August 19th.

Installation Instructions for Using NYU Box on Windows and Mac: 

Download and install the Box Drive application tailored for your operating system (Windows or Mac) 

During setup, you will be prompted to sign in with your NYU Home credentials, which will authenticate your access to NYU Box.

Once installed, a dedicated Box folder will appear within your File Explorer (Windows) or Finder (Mac).

Following the initial migration, you will be able to drag and drop files into this Box folder or open files directly from it, allowing for easy file storage, sharing, and synchronization across devices.

Note that in order to continue utilizing Box properly, it is highly advised to stay logged in. That is to say, when you log out of Box, your accessiblity to Box will be disconnected.
