Courant to NYU Email migration (October 2025)
On Monday October 20th, 2025, the NYU google apps team will begin the mass migration of CIMS email to users' NYU email accounts. The migration process could take several weeks to complete, during which time users can expect to see their Courant email gradually appear in their NYU email. It is important to note the following:
To avoid confusion, the CIMS email messages will be put under the label "CIMS-migration" and sub-labels will follow the structure of each user's CIMS mail folders.
The "Inbox" (aka, spooled email) from the CIMS mail will be labeled as CIMS-migration/Inbox.CIMS.
The migration will use a copy of the CIMS email, which will enable users to continue to access their CIMS email during the migration process. Please be aware that any changes made to your CIMS email after 9 am on 10/20 will not be propagated to the NYU email account, including sent mail and drafts folders.
Duplicate messages will not be copied, but will take the label applicable from the CIMS email folder where they reside. For example, many users forwarded messages from NYU email to CIMS, so messages may reside on both systems. These will be labeled accordingly under the CIMS-migration label.
To facilitate the migration, google apps quotas for affected users will be increased as needed. Eventually users should reduce their usage.
Most importantly, nothing in your current NYU email should be lost or overwritten.
Once the migration of CIMS mail is completed, the CIMS webmail, IMAP/POP and SMTP services, which are presently used to access and send mail through the CIMS mail system, will be permanently shut down. Users will be notified at that time and given a week's notice. However, users are advised to begin using NYU 's email system as soon as possible. Domains and user aliases have been set up on the NYU gmail system to allow users to confinue to use their @cims.nyu.edu, @cs.nyu.edu, @math.nyu.edu and @courant.nyu.edu aliases so you should no longer need to send mail through the CIMS smtp servers to use the addresses you have set up in NYU email.
A link to an opt-out form has been included in an email notice that's been sent to affected users. Users who opt out of the mail migration process described about are expected to be able to migrated their own folders without technical support.
How do I set up a Courant Mail Alias From Within NYU Email?
Please note that this instruction set applies to all Courant aliases, including @courant.nyu.edu, @cims.nyu.edu, @cs.nyu.edu and @math.nyu.edu. This example will use alias@cims.nyu.edu.
- Open your NYU Mail at mail.nyu.edu
- Click on the Gear Icon on the upper-right hand corner of the screen --> See all Settings
- Click on the Accounts Tab
- In the "Send mail as:" section, click on "Add another email address". This will open up the "Add another email address you own" pop up window.
- In this pop up window, enter your name, and for the "Email address" field enter alias@cims.nyu.edu
- If you wish to use your preferred name in your personal email address, please update your preferred name first. Full instructions are available at https://support.nyu.edu/esc?id=kb_article&sysparm_article=KB0010914
- Make sure the "Treat as an alias" box is checked. Click on "Next Step >>"
- On this "Verify your email address" screen, click "Send Verification".
- A verification email will have been sent to alias@cims.nyu.edu. Open that email, and click on the verification link to confirm your new email alias.
- To confirm that your new email alias is functioning, please send an email from your @cims.nyu.edu alias. To do so, compase a new email within Gmail -- you should now see a dropdown menu in the "From" field where you can choose your @cims.nyu.edu alias. Note that you may need to refresh the page for this alias to appear.
Please note that this Send-As feature is unique to Gmail. Other email clients may not offer this same functionality, which is one of the many reasons why we strongly recommend using Gmail as your primary email client.
